Where suppliers are actually found

  • Alibaba.com — broadest catalogue, weakest signal-to-noise ratio; treat listings as a starting shortlist, not a decision.
  • Global Sources — Hong Kong-based B2B directory, historically stronger for electronics and consumer tech.
  • Made-in-China.com — comparable breadth to Alibaba, more common for industrial and OEM parts.
  • Canton Fair — twice-yearly Guangzhou trade show; the highest-density face-to-face channel in the country.
  • Industry-specific fairs — Hong Kong Electronics, Shanghai Home Textiles, and category shows in Yiwu.
  • Introductions — an existing sourcing agent’s referrals often shortcut months of vetting.

Business licence check

Verify the company legally exists at the address it claims. National Enterprise Credit Information Publicity System (NECIPS) is the free official source.

Export history

Check if the supplier has actually exported goods before. Absence is not always a deal-breaker for a start-up, but it changes how you structure payment terms.

Video factory tour

Live video walk-through with the production line, warehouse, and QC bench visible. Refusal to do this is a red flag.

Sample round

Order a paid sample against a written specification. A supplier who cannot deliver a matched sample will not deliver 5,000 matched units.

Third-party audit

Pay $600–$1,200 for a factory audit for orders above $20,000. Independent audits catch quality-system gaps that a video tour cannot.

Reference call

Ask for two current customers and speak with them for 15 minutes. Suppliers with strong references produce them quickly; the rest stall.

Red flags

Signs that end the conversation

  • Price 30%+ below every other quote for the same specification.
  • Refusal to provide a business licence number that matches NECIPS.
  • Sales contact insists on payment to a personal Alipay/WeChat account.
  • ‘Trading company’ presenting itself as the factory (verify with a video tour).
  • Communication only through translation software with no verifiable identity behind it.

It confirms the company paid Alibaba a listing fee and passed a light document check. It does not confirm product quality, delivery reliability, or ethical sourcing. Treat it as a threshold, not a verdict.

How long does it take to vet a supplier properly?

Four to eight weeks for a first-time supplier if you follow the six steps. Buyers who compress this into a week usually rediscover the missing steps as production problems.
